You can add logo, QR payment code, terms, notes, dispatch details, transport details, or purchase order number if needed.
But do not remove core GST fields.
Invoice Number Rules
GST invoice number should be unique for a financial year.
It should not exceed 16 characters.
It can contain alphabets, numbers, dash and slash.
Good examples:

B2B means business-to-business.
Example:
You sell goods or services to another GST-registered business.
In B2B invoices, buyer GSTIN is very important because your buyer may claim input tax credit.

- Buyer address
- Place of supply
- Correct HSN/SAC

If you enter wrong buyer GSTIN, your customer may not see ITC properly.

B2C GST Invoice Format
B2C means business-to-consumer.
Example:
A retail customer buys from your shop and is not GST registered.
For unregistered buyers, GSTIN is not required.
But if taxable supply value is Rs 50,000 or more, name and address of recipient and delivery address with state and state code may be required.
For smaller B2C invoices, if the customer asks for details to be recorded, you should add them.

If client is in another state, use IGST instead of CGST and SGST.
Service providers should issue invoices within the prescribed time.
For most services, that is generally within 30 days from the date of supply.
GST Invoice Format for Freelancers
Freelancers should not send only a payment request.
Use proper invoice.

A mobile accessories shop, hardware store, electronics shop, garment shop or wholesaler should not issue vague invoices.

HSN and SAC in GST Invoice
HSN is used for goods.
SAC is used for services.
Your invoice should contain the correct HSN/SAC as applicable.
Current reporting rules depend on aggregate annual turnover.

GST rate changes from 22 September 2025 affected many goods and services.
That means your invoice should use current GST rates.

A composition dealer should not collect GST separately.
So they should not issue a normal tax invoice showing GST.
This is a common mistake.
Invoice-Cum-Bill of Supply
Sometimes a registered supplier may supply taxable and exempt items together.
In such cases, invoice-cum-bill of supply may be used as per applicable rules.
Example:
A shop sells taxable packaged goods and exempt goods in one bill.
Instead of creating confusion, billing software may create a combined document with proper taxable and exempt classification.
But classification must be correct.
Do not mark taxable goods as exempt to reduce price.
That creates tax risk.
Credit Note Format
A credit note is used when invoice value or tax charged was higher than required, goods are returned, or goods/services are deficient.
Credit note should include:
- Supplier GSTIN
- Document nature as credit note
- Credit note number
- Credit note date

Debit Note Format
A debit note is used when taxable value or tax charged in original invoice was lower than required.
Debit note should include:

- Document nature as debit note
- Debit note number

- Taxable value added

- Tax amount added
- Reason
- Signature/digital signature
Common reasons:
- Extra quantity charged later

A debit note is like supplementary billing.
It should be tracked properly.
E-Invoice: When IRN and QR Code Are Needed
E-invoicing applies to notified taxpayers based on aggregate turnover.
Currently, businesses with aggregate turnover above Rs 5 crore in any financial year from 2017-18 onward are generally covered for e-invoicing for B2B and export supply transactions, subject to exemptions.
In e-invoice cases, the invoice is first generated in your billing system.
Then invoice data is reported to the Invoice Registration Portal.
The portal generates IRN and signed QR code.
Your final invoice should carry that QR code.
For e-invoice-applicable taxpayers, a B2B invoice without required IRN can become invalid for GST purposes.
Small businesses below the threshold may not need e-invoice.
But they still need proper GST invoice format.
30-Day E-Invoice Reporting Rule for Bigger Businesses
From 1 April 2025, taxpayers with AATO of Rs 10 crore and above are required to report e-invoices within 30 days from the invoice date.
This applies to invoices, credit notes and debit notes.
If you are a small shop owner below the threshold, this may not apply to you.
But if your business is growing, track it.
E-invoice compliance becomes stricter as turnover increases.
Reverse Charge in Invoice
Reverse charge means the recipient pays GST instead of supplier in specified cases.

UPI sales and cash sales both need records.

But records should be clear.
